Hiring Plan Instructions

Re: FY 2024 Faculty Hiring Update

 

As in years past, deans are required to submit comprehensive faculty hiring plans to the provost for approval prior to posting any salaried faculty positions. Faculty hiring plans will be reviewed and approved on a rolling basis. All plans should be submitted by October 31, 2023, at the latest.

Beginning on July 17th, 2023, Interfolio, a leading academic faculty management software, will be utilized by UVA for all salaried faculty searches. This year, the faculty hiring plans will provide key information to facilitate the creation of positions in Interfolio. Each school’s faculty hiring plan will consist of a narrative and a Smartsheet listing all positions requested. Schools should include all planned academic faculty hires of 0.5 FTE or greater. School narratives must include a prospective and retrospective discussion of hiring by faculty type (tenured/tenure-track, academic general, visiting and wage). Anticipated faculty positions that are wage, visiting, or less than 0.5 FTE should be discussed but not included in the Smartsheet. Schools are not required to obtain advance provost approval for the creation of faculty positions of less than 0.5 FTE, or for those that are wage or visiting.

Schools that wish to hire faculty under the Grand Challenges program have been asked to inform us of their preferences by June 30 (please send these to Megan Barnett). We hope to provide you with many of the Grand Challenge hiring decisions by mid-July. While you may discuss your Grand Challenge hiring goals in your hiring plan narrative, please do not include these in your Smartsheet unless they have been approved by the provost. Grand Challenge positions approved by the provost after your hiring plan submission will need to be entered into the off-cycle hiring Smartsheet described below.

All proposed hires should be consistent with anticipated school resources as identified in the school’s approved budget and long-term financial plan in alignment with UVA’s RCM/UFM model.

Specific instructions as to the required hiring plan components are attached. Please share these instructions with the individuals in your schools who will be compiling/assisting with your hiring plan.

Each school should plan and allow for a minimum three-week Provost Office review period. Once a hiring plan is approved, the provost’s office will send the approved positions to UVA HR for position creation in Interfolio.

The School of Medicine should follow its established and approved procedures for assessing its faculty hiring needs and is not charged with submitting a faculty hiring plan as outlined in the attached.

The Provost’s Office will continue to offer an off-cycle process to facilitate the approval of faculty hires not included in the hiring plan. The majority of salaried faculty positions should be included in the hiring plan, but we recognize that unexpected needs arise. Offcycle requests may be initiated on the Exception to Search Requests and/or Off-Cycle Hire Requests form.
